Position Overview

The Transport Coordinator supports the Placement/Transport Manager by coordinating, scheduling,
and executing animal transports to approved rescue partners. This role is critical to ensuring safe,
timely, and well-documented movement of animals while maintaining clear communication with
internal staff, volunteers, transport drivers, and rescue partners. The Transport Coordinator works in a
fast-paced, time-sensitive environment and plays a key role in increasing SAPA!’s live release rate.

Key Responsibilities

Transport Coordination & Logistics
• Assist with organizing and coordinating all outgoing transports of dogs and cats.
• Assist with ground transports by serving as a driver alongside the Transport Manager as
required. Ground transport assignments will be limited to no more than two per month.
• Track animals approved for transport, interest from rescue partners, and scheduled departure
dates.
• Coordinate foster placement and staging needs for animals awaiting transport.
• Schedule animals for health certificates and ensure timelines are met.
• Prepare and organize all transport documentation, maintaining both digital and paper records
as required.
• Assist with loading animals into crates and vehicles on transport days.
• Prepare SAPA! vehicles as needed for staff-driven ground transports or meet transport partners
for animal transfers.
• Maintain a clean, sanitary, and humane transport environment throughout long-distance
ground transports, including routine monitoring, cleaning, and spot sanitation of crates,
vehicles, and other animal areas to meet SAPA! standards at all times.
Communication & Partner Support
• Serve as a liaison between onsite staff, the Placement & Transport Manager, rescue partners,
fosters, and transport team.
• Communicate transport details clearly, including dates, locations, drop-off instructions, and
animal information.
• Coordinate with temporary fosters regarding transport day logistics and expectations.
• Provide timely updates to internal staff using email, Microsoft SharePoint, spreadsheets, Slack,
and other communication tools.
Documentation & Systems
• Ensure all appropriate medical paperwork and medical waivers are uploaded to ShelterLuv prior
to transport.
• Assist with updating and maintaining Placement & Transport SharePoint folders, spreadsheets,
trackers, and Trello boards.
• Support tracking of unaltered animals sent to rescue partners and assist with obtaining and
uploading proof of surgery when required.
Onsite & Offsite Support
• Travel between onsite locations to assist with temperament testing, photos, and videos used
for transport pitching.
• Travel to local veterinary clinics as needed for transport-related tasks.
• Support onsite teams with animal movement related to transports.
Program Support
• Assist the Placement & Transport Manager with meeting program goals by ensuring transports
are executed accurately and efficiently.
• Support volunteers assisting with transport preparation and day-of logistics as directed.
• Uphold all SAPA! policies, safety standards, and animal care requirements at all times.

Personal Attributes

• Must be able to lift up to 50 pounds regularly.
• Must be able to work in all weather conditions.
• This job is labor-intensive; physical exertion is required. Includes bending, stooping, kneeling,
reaching above/below the waist, pushing/pulling movements, lifting, walking, standing for long
periods of time.

Qualifications & Experience

• Must have an active Driver’s License.
• Must have exceptional computer & communication skills.
• Must be able to multitask and work in a fast-paced environment.
• Be able to type, spell, and communicate quickly and effectively.
• Be able to stay on task, and self-discipline to complete all required tasks in a time sensitive and
demanding environment.
• Evening, weekend, and holiday work will be required. Must be flexible for scheduling.
